Entry Instructions for Demo Users....  

You may try out the entry forms if you wish.

Login= demo   Password = demo  

Then, find your rental unit as Sample Demo on the Property Type List.

All "demo"  information will be removed within a few hours, this is just to allow you to see how "user friendly" our website can be.

Welcome to www.thevillages4rent.com
 
You can access and edit your web space from any computer that can reach the Internet. So, if you are visiting a friend anywhere and are showing them your web and you see an error or want to add info, just Login from wherever your are and make your changes.

The information entry process involves 2 "fill in the blanks" screens.
The 1st screen contains information about you, name, phone, cell, e-mail etc.
The 2nd screen contains the information about your rental property. 

Your Login Name is the ONLY item which you won't be able to change. 

PLEASE print this page NOW, you WILL need it as a guide the first time you Login to your web page. 

STEP 1, LOGGING IN:

Go to www.thevillages4rent.com and look down the buttons on the left for the blue "Owner Login" button, click it. You can also find an "Owner Login" on the gray bar at the top of other pages.

Type in your Login Name (with a space) and Password, then click the "Login" button

STEP 2, SUBMITTING OWNER INFORMATION

Please fill in the Info in these boxes. The First and Last names and the Phone Numbers will be used to make up your property listing. Be sure fill in your current E-Mail address as E-Mail from interested parties to you will be sent to that address using the "Send a Message to the Owner" feature.

Your Last name will not show on the listing for security reasons. Your home address, city, state and zip are where you reside (not the rental) are not shown on the website but just so that I may contact you if necessary.

In the event that you do not wish to include your phone number, simply type the following into the telephone number area "Use Send A Message To The Owner".

When you are done click "Submit Owner Information" button.

STEP 3, SUBMIT RENTAL UNIT INFORMATION Entry/Edit
 
Click the Edit Listings button. 

On the screen that appears you will see a small photo of your property as well as what we call the Short Description. Click the Photo or the Address to get into the editing page.

Fill in all the boxes and use the "Drop Down Menus" to choose items. Use the click "Submit Property Information" buttons often. The system only records your information if you click the button, Failure to click the "Submit Property Information" buttons, means nothing gets recorded.

Enter your Short and Long Descriptions, being mindful of the character counters so you don't run out of space. We have entered some general info about rentals for you, please edit as appropriate. 

In the Short Description box, limit your text to 11 lines maximum (include lines used to space between sentences in that count). While entering your information, you may review your Short Description by clicking the Edit Listing button at the top of the box, be sure you have clicked the Submit Property Information button first, before trying to review. The text of your Short Description should not be "taller" than the height of the small photo of your property which is adjacent to the text in the Short Description.

Click the "Submit Property Information" button.

Please do not enter the numerical part of the street address into the listing (security issue).

DO NOT UNDER, ANY CIRCUMSTANCES, ENTER THE ANY NAMES OF PEOPLE, PHONE NUMBERS, E-MAIL ADDRESSES, WEB SITES ADDRESSES INTO THESE DESCRIPTION BOXES. MISUSE OF THESE BOXES WILL TERMINATE YOUR SUBSCRIPTION WITHOUT A REFUND.

Leave "Display Property Address" Checked so the maps will function when they become available.

STEP 4 SPECIAL FEATURES, HOME  FEATURES and the AVAILABLE DATES

Check everything that applies to your property. The Search feature scans the entries and will show your property if it meets the tenants requirements. If you don't check these items the search feature will not find your property.

Click the "Submit Property Information" button.

STAY OUT OF THE DO NOT EDIT AREA. FOOLING WITH THIS COULD DAMAGE THE  WEBSITE.

There is a Hit Counter at the bottom of the page, last item. 

It isn't reset normally, so just record the value and the date for your notes.

STEP 5 Logging Out

Use the red LOGOUT button on the bar at the top left of the screen.
 
STEP 5 Review Your Work.
Go to www.thevillages4rent.com/xxx  (where xxx is your number), your result will be shown.
 
Mark up your printed page for corrections, then LOGIN, make your changes, Click the "Submit Property Information" button,  then LOGOUT.

PHOTOS
About your digital photos.....

Please E-Mail photos to     photos@thevillages4rent.com  .

Please put the TOTAL number (XX) you will be sending (via multiple e-mails) into the Subject line of ALL of your e-mails. Also, place your Full Name and Acct/Property# in the Subject line as well….

We accept the following file types; .jpg, .bmp, .png and .zip (zipped files) as well as photos that are embedded in e-mails.

When we edit/resize your photos we will add a watermark copyright notice to protect our investment of time for editing and resizing. Our service includes 2 edit sessions; 1st to edit your "initial photos" then performing one more edit session if you wish during your subscription year. After those 2 sessions, there will be an additional charge if you want to switch out photos to other photos.

 

Note: We do not have commercial accounts with Snapfish, Kodak, Google or any of the other On-Line photo companies, thus it isn't possible for us to use photos from their websites. Your photos must come to us as e-mail attachments.


MAKING CHANGES:
As time goes by we know you will want to add or change some info about your property. Whenever you make changes to your web site information you will need to "refresh" your browser program by using one of the "Refresh/Reload buttons" or use the F5 key (above the numbers row) or else you may be looking at older information and it will seem as though your updates are not getting through. Updates take effect the instant you press the Submit button, so you are not waiting for us to do anything.

If you are making changes, just enter the "change info" and click SUBMIT, all other categories of info will remain as they were. 

ADVERTISING:
The web site alone will bring viewers when you aren't advertising, but to market a vacant property you would be wise to advertise, pointing Renters to your Photos to get the maximum benefit from having a web site. Your web pages will work best for you if you include these two lines in classified advertising.  
 
Photos, Rates, Dates & Info at:
www.thevillages4rent.com/XXX      (where XXX is your Account number from above)
 
It is MOST important to use separate lines and that the www.thevillages4rent.com/XXX  appears on a single line, no spaces or hyphens etc.
Ask the classified ad taker to use the largest font that will fit into the column width for these lines. When you have a renter, please EDIT your web info to change the Available Dates. 
 
 
MAP FUNCTION
Your web page also includes a link to MapQuest (via a "new window") so clients can find the location of your unit. The map function works for locations North of CR466 (with very few exceptions). Properties south of CR466 will map when Mapquest puts them into it's database.

 
WEBSITE RULES

The following rules are used to maintain the quality of the web site and promote fairness and are always enforced.
 
Without question... You may NOT use a Property Manager or Real Estate Agent/Broker, nor may you act as either. You MUST handle the lease, security deposits and rent collection yourself (US mail still works). Violation will cause your WebPages to be removed from the website WITHOUT REFUND.

We reserve the right to change or add to the rules at any time and those changes will be binding on all subscribers. It is your responsibility to regularly review the rules to be sure you are in compliance.

 1.) Your photos and graphics MUST be your property. We do not allow photos or graphics which might in some way infringe any copyright.  Photos must be of the rental unit described in the text of the information page of the property, with the exception that "community common areas", such as a "community pool" may be shown if the photograph is the property of the subscriber. 
 

2.) We DO NOT allow links on your pages which take viewers to other websites or that initiate an e-mail.  
 
3.) Availability Dates: Subscribers may make reference to any available dates in this current year as well as any dates in the year immediately following. Mention of any dates beyond those described are not allowed. Note: It’s your home so you can rent it for any period you choose. We only limit the dates that you can “reachout” to on the website.
Example: Current year 2011, it's permissible to mention any dates in 2011 and 2012,  BUT merely alluding to dates in 2013 is not acceptable. Then, beginning Jan 1, 2012, it will be permissible to mention any dates in 2012 and 2013.

4.)
Comparisons that unfairly place any unit above the units of other subscribers will not be tolerated. Claims that cannot be substantiated, such as "The Best" or "The Largest" will not be accepted. Limit your listing updates to no more than 6 in any 24 hour period. (Rev 7-27-2011)

5.) Long strings of
CAPITALS are not acceptable. The Short Description may contain 5 FULLY CAPITALIZED  words, the Long Description may contain 10 FULLY CAPITALIZED words. The use of "free" in place of  "included" is prohibited. In the Short Description box, limit your text to 11 lines maximum (include lines used to space between sentences in that count). So, in this paragraph there are 5 fully capitalized words as shown by the blue text color.

6.) Text and photos on the website may be altered to optimize the use of  web space and to improve web delivery speed.

7.) The location of a subscriber property is established at the start of the subscription. Subscriptions may not be moved to another property. Address corrections are acceptable. If you own multiple properties in The Villages then they all must be subscribed to this website. You may not make references to or steer renters to other rental properties unless they are subscribed on www.thevillages4rent.com Doing so will cause your subscription to be terminated without refund.

8.) YOU MAY NOT, under any circumstances, enter any names of people, businesses, phone numbers, e-mail addresses, web sites addresses or the numerical part of  the street address of the rental property into the Long or Short description boxes. The First Name(s) and Phone Numbers you entered in the Owner Information form will AUTOMATICALLY be entered onto your property listing. The E-Mail address you entered on the Owner Information form will remain hidden for your security. The "Send a Message to The Owner" button will send an interested party's information to your true E-Mail address. Misuse of the Long and Short Description boxes will cause your subscription to be terminated without a refund.  

9.) ONLY RENTAL PROPERTY information is allowable. "For Sale" or other use of this website in not acceptable and will result in termination of the account without refund.


DISPLAY ORDER
We encourage you to keep your information current and that will keep your listing near the beginning of the list. The order of display is based on the date of your most recent update and to a lesser degree on other parameters.  We do not attempt to override the software control of the order of display.
Invoices for renewal will be sent by E-Mail to subscribers who are in good standing. The E-Mail will be sent on (about) the 15th of the month preceding the expiration of your listing and it will list the expiration date within. Payments may be made using a personal check or On-Line using Paypal.com ( you do not need a Paypal account, only a MC or Visa card.
Your payment must be received on or before the expiration date of your account. We remove listings at the Close-Of-Business on the expiration day. Set-Up fee will be applied to returning subscribers (we had waived the Set-up fee for your initial subscription.
 
Cautions:
1.) As you know, we at www.thevillages4rent.com do not provide Property Management services at this time. If at any time you choose to enlist a property manager you MUST inform us so that we can issue a refund to you. You may NOT use a Property Manager or Realtor while being on this Owner Managed web site.

2.) You need to be aware that the Internet is like the Wild West and there are predators continuously searching for opportunities to make you a victim. When you are approached by a person interested in renting your property "deal at arms length". Don't give out more personal information than necessary. Request deposits by Bank Check mailed to your address. Never give out banking information, such as account numbers. Ask for references.
